Driver reports a defect

During a walkaround check or on the road, the driver logs the defect in the FleetForge app with a photo and description.

Workshop staff see the defect in their queue and create a digital work order, assigning it to a mechanic with a priority level.

Mechanic completes the repair

The mechanic carries out the repair, records parts used and labour, and signs off the job card in FleetForge.

Defect is closed with evidence

The defect is marked as resolved. If the defect was safety-critical, a Transport Manager verifies the repair before the vehicle returns to service.

The DVSA Guide to Maintaining Roadworthiness requires operators to have a defect reporting system that captures defects from walkaround checks and driver reports, routes them to the workshop, and records the repair with sign-off. Operators must be able to produce this history during an inspection.
